Job Title: Financial Assistant
Full-time
Reports To: Business Manager (direct)
Senior Minister (vision)
Position Summary: The Financial Assistant is responsible for working with the Business Manager in all areas of financial administration and human resource management for both First Protestant Church and First Protestant School. Agrees to operate in accordance with First Protestant Church’s Constitution and By-Laws and with the Evangelical Association’s core beliefs.
Qualifications:
Financial education and working knowledge of all accounting procedures including payroll and budget.
A minimum of 5 years’ experience required. Degree in a related business discipline preferred.
Ability to keep all financial and personnel information confidential.
Experience and proficiency in the use of Shelby Next accounting software preferred.
Strong computer and database management skills.
Human resources knowledge.
Strong written and verbal communication skills.
Trustworthy, dependable, self-motivated, and servant minded.
Team Player
Responsibilities:
Deposit all funds received by the church and school to the appropriate accounts.
Keep accurate records of each member’s contributions to the church and prepare quarterly statements.
Prepare monthly bank reconciliation statements.
Maintain file of invoices, correspondence, and reports.
Record and maintain all accounts payable.
Maintain proper IRS forms (W4, W9, 19, 1099, etc.) Type appropriate financial correspondence.
Assist in maintaining financial records and preparing financial reports for all church and school business.
Attend weekly staff meetings.
Perform duties as assigned by the Business Manager or Senior Minister or as necessary to insure smooth operation of the finance office.
Develop annual and quarterly goals with supervisor.
Attend weekly staff meetings.
Watch weekly service online by the end of day Monday.
Attend worship services as requested.
Attend Board of Finance meetings as needed.
Attend Congregational meetings.
Job Title: Administrative Assistant
Full Time
Reports to: Senior Minister
Supervisory Responsibilities: Office Volunteers
Position Summary
The FPC Administrative Assistant provides support to the church staff by managing key administrative tasks and facilitating effective communication in helping to manage the smooth operation of the church office. Agrees to operate in accordance with the First Protestant Church’s Constitution and By-Laws and with the Evangelical Association’s core beliefs.
Qualifications
A minimum of 5 years’ experience in executive level administrative work.
Excellent verbal and written communication skills.
Exhibits a spirit of cooperation and teamwork.
A self-starter, good at multi-tasking, pays close attention to details and prioritizing projects.
Should possess the ability to work independently without supervision.
Be able to work at a fast pace within a variety of settings and circumstances, with composure and flexibility.
Efficient in database management, MS Office, Adobe, etc. Experience in a church management system a plus.
Efficient in basic desktop publishing, bulletin, flyer, and brochure design.
Proficient in the use of standard office equipment.
Exceptional organizational and people skills.
Demonstrates a high level of trust and is ever conscious of the need for confidentiality. Should have a servant’s heart, sensitive to the needs of others, exercise discernment and wise judgement.
Responsibilities:
Manage and maintain the church office, ensuring it is organized, welcoming and efficient. Answer and screen phone calls, emails, and inquiries providing information and assistance as needed.
Function as a central point of contact for members, visitors, and vendors.
Provide information and a tour of the facilities for weddings, receptions, etc. Prepare certificates for special occasions as requested.
Draft, edit, proofread, print, and disseminate various documents, including bulletins, letters, reports, announcements, council, and boards reports, etc. Disseminate church information and announcements through various communication channels, such as newsletters, social media, emails, etc. as needed.
Collaborate with the staff and church leadership to ensure timely and clear communication of important updates and events.
Provide administrative support for special events as needed.
Update website as needed.
Maintain and update church records, mailing lists, directories, databases, etc.
Check and distribute mail daily.
File and protect all church records, paperwork, etc.
Print and make copies as needed.
Manage and order office supplies and materials for all ministry areas.
Keep scholarship fund records including all correspondence and follow up with students, schools, and committee.
Recruit, train, and coordinate office volunteers.
Manage the church directory, updating and adding information as needed.
Attend weekly staff meetings, other meetings, and retreats as scheduled.
Develop annual and quarterly goals with the Senior Minister.
Attend weekly service or watch online by end of day Monday.
Attend special services or events as requested.
Attend congregational meetings.
Other tasks as assigned by the Senior Minister.
